IF THERE SEEMS TO BE NO WORK ~ TO DO LIST

A list for Student Workers and Graduate Assistants (GA)

If the Admin Asst can't think of anything, then do the following (keeping the telephone with you at all times) :

  1. Be Pro-Active: Find something that needs to be done, and do it!
  2. Walk through the hallways and ask faculty if they need any help (ask Martha and Chuck first).
  3. If it's mail time, sort mail (approximately 9:15-9:30 a.m. & 1:15-1:30 p.m.).
  4. Top off the paper trays for the copier in the workroom, fax machine in IDS office, and the printer in IDS office.
  5. GA: Update Richard's calendar.
  6. Take a quick look around the drawers and cabinets of the workroom, add items to re-order list if running low.
  7. GA: Place orders for supplies on re-order list.
  8. Check the recycling bins in the Faculty Commons and empty recycling bins (paper to workroom, cans and bottles outside).
  9. Check paper recycling bins and shredder in IDS office and the Admin Asst's office and take paper to workroom recycling bins.
  10. Check Media Equipment Carts and ensure that all the necessary items are on each cart and are neat and orderly (cords, etc).
  11. Straighten/organize Work Room. (i.e. Check cabinets/drawers and ensure that items are in the proper place and appear tidy and orderly) .
  12. Straighten/organize IDS office. (i.e. Go through folders on desk, file items that need to be filed, discard items that are no longer applicable. Straighten desk / work area).
  13. Check status of office plants and plants in faculty commons, water if necessary.
  14. Clear off IDS desk and wipe it down (borrow cleaner from BR). Other surfaces to wipe down if necessary: Workroom counters, table in Storage Room 221, counters in faculty lounge.
  15. Check the fax machine for any newly received faxes and place them in the recipient's box.
  16. Remove old/outdated items from bulletin boards in the building.
  17. Fill out the budget code on the yellow mail forms (they are in the workroom drawer labeled 'Mail Forms').
  18. Make sure the copy request forms are stocked.  If they're not, print out a new form, then make copies using colored paper.
  19. Empty the three-hole punch in the Workroom, and check for jams.   The punch mechanism sometimes needs to be cleared with a paper clip, because the paper circles clog and prevent complete hole punches.
  20. Put away any dishes in the Faculty Commons.
  21. Organize Senior Theses in Faculty Commons by date.  Create an Index when organization is complete.
  22. Ask BR if she needs any help.
