STUDENT WORKER INFORMATION

The following information is intended for Work Study Students and Graduate Assistants working in the IDS Office.  Please notify Elizabeth if you think of anything that should be added to this section.

GRADUATE ASSISTANT TASKS:  All of the information listed below applies to the graduate assistant as well as the work study students.  Additional graduate assistant responsibilities are listed on the Graduate Assistant Tasks page.

FORMS
The majority of the forms you will need are in Storage Room 120, in the file drawer labeled "Forms".  Other useful forms:

MORNING TASKS
If you are scheduled to come in for the first morning shift, you are responsible for unlocking several doors in the LLA Building.  When you arrive in the morning, before going to the IDS Office, please unlock all of the classrooms, the work room, and the student commons.

When unlocking the work room, please check the fax machine for any newly received faxes and place them in the recipient's box.

TELEPHONE
Answer phone to buffer the Admin Asst and Richard as much as possible. If either of their doors are closed, generally try not to interrupt them unless it seems important.  On the phone, be as friendly as possible (even when the other end of the line is cranky and incorrigible).

Transferring Calls
While talking on the phone, press flash, enter the four-digit extension number, and when you hear it ring, hang up.  Some people don't have answering machines, so they will ring back through to you. In that case, you can just take a message and email it to them.

MAIL
Mail usually arrives between 9:15 a.m. and 9:30 a.m. and between 1:15 p.m. and 1:30 p.m. in the Faculty Commons. Please distribute IDS mail shortly after it arrives.

You will also be sending out mail (intercampus, first class, student, etc.)  For first class and intercampus mail, use the yellow tally sheet and attach to item(s).  For student mail, use the blue sheet.  When mailing multiple items together, please put the ASU P.O. Box numbers or zip codes in ascending order.

When/if you ever have some down time, filling out the budget code on the yellow forms is helpful to the busy times (they are in a workroom drawer).

If someone receives a confirmed package, or an item too big to fit in their box, leave them a note, email, or voice mail message and hold onto it in the office until they pick it up.  If you like, you can get the key from the Admin Asst and put it in their office.

COPIER
Each faculty member and department has their individual copy code number.  When making copies for faculty member, use their copy code.  Enter 4-digit code, press the green button and zam, you're making copies.  When finished, press the green button again and it will clear for next user.  Place completed copy jobs in the copy job requestor's box.

You can print to the copy machine: Print -> Printer Name -> AAS-IDS-Ricoh-Ptr.IDS.AAS.asu on APPSTATE.

You are responsible for making sure there are enough copy request forms available in the work room.  Print the copy request form then copy it using blue paper.  Cut on the dotted line and place inside the copy request box.

CHAIR APPOINTMENTS
You will schedule appointments for Harriette in the calendar on the bookshelf.  Please only write in pencil.  Try to leave a spot free for lunch, and do not schedule appointments outside of business hours.

RIGHT NOW REQUESTS
Any questions in general for computer help, call Tech Support at x6266.

When someone has a computer problem that you can't troubleshoot, submit a Right Now Request so that someone in tech support can come fix it. 

DESK COPIES
A desk copy is a book that is furnished free by the publisher for a faculty member's use when copies of that book have been ordered for use in a specific course.  You may be asked to submit Desk Copy Requests for faculty.

LABELS
You'll be creating labels frequently.  Download the Blank Labels Template for Microsoft Word and put the label sheets in with the labels facing up.  When creating labels, be sure to put one space before starting text on each label, otherwise the first letter of each line will print halfway off of the label.

COMPUTER
Since you have confidential information on this machine, do not let other people use it when you're not here. To avoid viruses, please do not do print jobs for anyone from a disk, and DO NOT DOWNLOAD ANYTHING from the internet.

WORK ROOM
Please keep an eye on all the supplies in the office and workroom so that the graduate assistant or Admin Asst can make an order before we run out.  When supplies are running low, add them to the list in the Work Room.  Periodically, check the drawers and cabinets and straighten/organize supplies as needed. 

COURSE EVALUATIONS
You will need to make labels and files for teaching evaluations at the end of each semester. Then they will be filed in the Admin Asst's office. Faculty will need to see them to do annual reports, etc. but please make sure they take them and return them relatively soon (a few days). They can make copies of them if needed. Each instructor needs a file, the labels should include their name, the semester and year.

AUDIO-VISUAL EQUIPMENT
At least once per week, you should check the Audio-Visual Equipment in Storage Rooms 119 and 220.  Make sure everything is where it should be and that the necessary cables, remote controls, etc. are neatly in place.  We don't want faculty having to deal with missing equipment at the beginning of class.  Also, try to check behind faculty after their classes end to make sure that the A/V equipment was returned the proper storage closet.

RECYCLING
One of your more glamorous duties is taking out the recycling.

Cans & Bottles 
There is a box for recycled cans and bottles in the Faculty Commons.  It is your responsibility to ensure that this box never fills up.  Please empty the recycling at least once per week, or whenever you see it more than halfway full.

Paper
Please empty the paper recycling bins in the IDS main office, the Faculty Commons, and the Admin Asst's office (don't forget the paper shredder!).  Paper should be taken to the Work Room and emptied once per week.
